Handling files submissions manually in the marketing industry can be a daunting task, particularly when managing large quantities of images, PDFs, graphics and other types of files.

Without an effective system in place, this process can result in errors, security risks, and disorganization.

Automating files collection using a tool like FileDrop’s File Upload Forms can drastically improve the process. It offers a secure, streamlined way for clients to submit files like documents or design assets while ensuring compliance and maintaining organization.

Streamline Files Collection for Marketing Agencies with File Upload Forms

FileDrop’s File Forms can drastically improve files collection:

No sign-in required: This ensures smoother submission processes for employees and clients without the need for login credentials.

Complete customization: Customize forms to meet specific finance-related needs, such as collecting logos, design assets, graphics, contracts, or financial documents.

Automatic integration with Google Drive: Automatically organize submitted documents into dedicated folders, keeping all files neatly organized.

Real-time tracking: FileDrop can send notifications to finance teams whenever a document is submitted, keeping everyone updated. Also keeps track of users you invited to submit documents.

Steps to Set Up Secure Links for Document Collection

Step 1: Log In to FileDrop

Visit app.filedrop.com and create an account if you don’t already have one. After email verification, you’ll be redirected to your dashboard, where you can access all the tools to create and manage your forms.

Step 2: Create a New File Form

In your FileDrop dashboard, go to the “File Forms” section. Click on “Add New Form” to start setting up the document collection form for your client or user. This form will be used by clients or staff to submit files securely.

Step 3: Customize the Form

Once you’re in the form creation section, customize the form to gather the specific information you need.

Setup fields for each file type and set the limits you want. You can also make certain fields mandatory to ensure all critical data is collected.

Step 4: Set File Upload Field Requirements

To run a great file collection system it’s crucial to ensure that the files are in the correct format. FileDrop allows you to set restrictions on file types and file size (ideal for financial reports). This step ensures that only appropriate documents are submitted.

Step 5: Integrate with Google Drive

FileDrop integrates seamlessly with Google Drive. Once your form is set up, link it to your Google Drive.

This allows every document submitted through the form to be automatically saved to your Drive, keeping your financial files organized and easy to access.

Step 6: Enable Notifications

To stay updated on document submissions, enable email notifications. FileDrop will alert you whenever a file is uploaded, ensuring that you don’t have to check manually. These real-time notifications make tracking document submissions more efficient.

Step 7: Share the Form Link

Once your form is ready, FileDrop generates a unique shareable link. You can email this link to clients, share it in a newsletter, or embed it on your company’s portal. No login is required, so it’s an easy process for clients to submit their files directly.

Step 8: Invite Respondents via Email

To make it even easier, you can send the link via email. Click on the person with the “+” icon beside the “Share” button in FileDrop.

Enter the email addresses of your clients, employees, or stakeholders, and customize the invitation message to guide them through the document submission process.

Your recipient will receive an email about the form:

They should click the Open Form button or scan the QR code.

Once they have successfully submitted a response, you will get an email notification about it.

Step 9: Monitor Submissions

With FileDrop, you can track all submissions in real-time through your dashboard. It allows you to view who submitted each document and when.

You can also download the files directly and categorize them into designated folders (client contracts, tax forms, financial statements).

In addition to tracking submissions, you can also monitor the actions of individuals you’ve invited via email. Simply select “Form Invites,” and you’ll be able to see whether your invites have viewed, read, or responded to the form.

Here is what’s new at FileDrop for this week.

Don’t forget to review the previous announcement and updates.

Automations for FileDrop Forms

Tables updates and fixes

PDF Links Design Update

FileDrop’s tools now talk to each other. Contacts is a real address book you can type into. Shared PDFs can trigger automations the moment someone opens them. Automations can read the text and tables out of uploaded documents. And the people who open your files end up in your contacts automatically.

Contacts

Contacts used to be a list FileDrop assembled from your form activity. You could look at it, but not change it. Now it is a real record.

Adding someone

Contacts → Add contact. Email is the only required field; name, phone and stage are optional.

This is the one that matters if enquiries reach you by phone or in person — you no longer have to send someone a form just to get them into the system.

Notes

Open any contact and use the note box. Notes appear in that person’s timeline alongside their form submissions, file requests and PDF opens, so the whole history is on one page.

Stages

Every account starts with New → Contacted → Qualified → Won → Lost. These are just a starting point — use Manage stages on the Contacts page to rename, recolour, reorder, add or delete them:

A tutoring centre: Enquiry → Tour booked → Trial lesson → Enrolled

An agency: Lead → Proposal sent → Client

Mark one stage as Default and new contacts created by a form submission, a PDF open or an automation land there. Deleting a stage keeps the contacts in it — they simply lose the stage.

Filter the contact list by stage from the dropdown at the top.

If you don’t want stages, ignore them. Pick No stage when adding someone and the field never gets in your way. They only become load-bearing if you want scheduled requests to target a group.

Where contacts come from

Source

When

Added manually

You typed them in

Invitation

You sent them a file request

Submission

They completed one of your forms

PDF share

They opened or requested access to a shared PDF

Import

Promoted from a table

Automation

Created by an automation action

Everyone is matched on their email address, so the same person is never duplicated no matter how many ways they reach you.

Following up with a whole group at once

Scheduled requests can now target a contact stage instead of a typed list of addresses.

Forms → Scheduled requests → New, then switch the recipient picker from Type addresses to Contact stage.

The important part: the list is worked out fresh every time the request sends. Set up “chase everyone still at Enquiry every 3 days” once, and anyone who moves into that stage next week gets chased too — without you touching it. Anyone who responds and moves on drops out automatically.

Combine it with the existing retry settings (retry up to N times, N days apart, stop after they respond) and the whole follow-up sequence runs itself.

Capped at 100 recipients per run.

Knowing when someone opens your PDF

Shared PDFs can now start an automation.

Automations → New, pick Shared PDF Activity as the source, then choose:

Trigger

Fires when

PDF opened

Someone views the document

PDF downloaded

Someone saves a copy

Pick a specific file, or leave it on Any shared PDF to watch everything you share.

What you can do with it

Anything the automation builder already offers — Slack, email, Google Chat, a webhook, an Airtable record, a new sheet row, or adding the reader to your contacts.

Details you can use in the message

Variable

What it holds

{viewer_email}

Who opened it (when the file requires email verification)

{file_title}

The document’s name

{file_url}

The share link you sent

{document_url}

The PDF file itself

{view_type}

view
or
download

{viewed_at}

When it happened

{time_spent_seconds}

How long they spent reading

{completed}

Whether they reached the end

{device_type}

Phone, tablet or desktop

So a Slack message like:

{viewer_email} just opened "{file_title}" and spent {time_spent_seconds}s on it

Refreshing the page doesn’t re-notify you.

Note:
{viewer_email}
is only known when the shared file has Require email verification turned on. Without it, opens are recorded anonymously.

Turning PDF readers into contacts

Anyone who requests access to or opens a shared PDF is now added to your contacts automatically, tagged as a PDF share contact.

Their opens and downloads show up on their contact timeline, so you can see the full story in one place: sent the intake form → they submitted → opened the proposal twice → downloaded it.

Keeping the gathered emails in a table

Previously the only way to get access emails out was a one-off CSV download. Now you can connect a live table instead.

Any file with Require email verification turned on now shows a line under it:

Collecting viewer emails · 12 gathered Download CSV Keep in a table

Keep in a table creates a table that updates itself, with:

Column

Email

The address

Verified At

When they confirmed it

Views / Downloads

Running counts

Last Seen

Most recent activity

First Requested

When they first asked for access

Once connected, the same line tells you where the addresses are going and gives you Open table and Stop updating. Because it is a normal FileDrop table, you can share, embed or export it — handing a colleague a read-only link instead of emailing spreadsheets around.

The CSV export still works exactly as before. Turning the sync off leaves the table and its data in place.

Available on Business Plus and Max, same as the CSV export.

Reading what people upload

Two new automation actions turn uploaded documents into usable data.

Read text (OCR)

Adds the document’s text as
{ocr_text}
, which any later action in the same automation can use — email it to yourself, write it to a sheet, push it to Airtable.

Engine has two settings:

Balanced — fast, good for clean scans and typed documents. Use this by default.

Most accurate — reads handwriting and messy scans, detects the language on its own, slower on large files. Use it when Balanced returns nonsense.

Extract table (OCR)

Pulls a real table out of a document — an invoice, a price list, a timesheet — and gives you:

{ocr_table_markdown}
— the whole table, readable in an email

{ocr_table_col_1}
,
{ocr_table_col_2}
, … — the first data row split into cells, so you can map them to sheet or table columns

This always uses the most accurate engine, because it is the only one that understands table structure. No setting to get wrong.

Which file gets read

Leave File to read blank and it uses the file attached to whatever triggered the automation — the form upload, or the shared PDF. Otherwise give it a URL, or a column that holds one, like
{column:C}
.

A worked example

“When a client uploads an invoice, pull out the line items and log them.”

Source: Form Submission, pick your upload form

Action 1: Extract table (OCR)

Action 2: New row, mapping
{submitter_email}
to column A,
{ocr_table_col_1}
to B,
{ocr_table_col_2}
to C

Three steps, no third-party tools.

Starting from a recipe

The automation builder now opens with Start from a recipe — prefilled starting points you can edit afterwards:

Tell me when a client opens a document

Email me on every download

Add document readers to contacts

New client onboarding

Read what clients upload

Pull tables out of uploaded invoices

You only see recipes you can actually run. If you have never shared a PDF, the PDF recipes are hidden; if Google Drive isn’t connected, the ones needing Drive are hidden too.

Pick one, give it a name, review the steps, save.

Importing an existing list

Contacts → Import CSV. Pick your file, confirm which columns hold the email, name and phone, and import. FileDrop reads the header row and guesses the mapping for you.

People you already have are updated, not duplicated — matched on email

Rows without a valid email address are skipped and counted

The same address twice in one file counts once

Up to 5 MB and 5,000 rows per file

You can drop everyone into a stage on the way in, or leave it as No stage.

If you already work in Tables

Contacts → Tables holds two optional extras for people who use the Tables feature:

Bring an existing table into contacts — promote a table you already have, choosing which column holds the email address.

Mirror contacts into a table — a read-only copy of your contacts as a table, if you want to share or embed the list. Your contacts stay the source of truth.

Neither is needed for a normal import. For a plain spreadsheet, use Import CSV.

Smaller fixes

Email and Phone column types in Tables now work correctly. Previously choosing either produced an error.

This is a small update on what we delivered in the last update.

Here’s what’s new:

Group your rows by any column

You can now group your gallery cards or table rows by any column — department, category, status, region, whatever makes sense for your data.

So instead of one long list of 80 people, you get Engineering (12), Marketing (8), Sales (15)… each with their own section header. It works in both gallery and table view, on your public share page too.

Email and phone columns

Two new column types: Email and Phone. Values display as clickable links — tap an email to open your mail app, tap a phone number to call. Simple, but it makes a big difference when you’re using a Table as a directory or contact list.

What this unlocks

These two additions together open up a whole category of use cases we hadn’t fully leaned into:

Team / employee directory — headshot, name, department (grouped), email, phone

Vendor or supplier list — logo, company, category (grouped), contact email and phone

Freelancer or contractor roster — photo, specialty (grouped), email, rate

Community resource guide — org photo, service type (grouped), contact info

Speaker directory — headshot, name, track (grouped), email, bio

If you have a form set up with FileDrop, you can connect it to a Table so every new submission automatically adds a row. Collect headshots and contact info through a form, display the results as a live visual directory — no manual entry.

Coming up

We’re working on more view options and smarter ways to connect your forms and tables. If there’s a use case you’re trying to build, let us know — we read every response.

Most Google Sheets automations go one direction: something happens, a row gets added. FileDrop does that, but it also runs the other way — pulling data from a sheet into a live visual table on a schedule.

Here’s what you can actually build without writing any code. Compare more automations tools and find alternatives for Zapier or Make.

1. Auto-sync form responses into Google Sheets

Connect your Google account once in FileDrop Form settings. On any form, open the Google Sheets integration, pick the spreadsheet and tab, and map each form field to a column. Every new form submission adds a row automatically from that point.

You can choose what gets synced: all field answers (text, dropdowns, checkboxes, dates, numbers, signatures), the submitter’s email and submission timestamp, IP address and device info, and approval status. That last one is useful — you can configure it to only sync approved submissions, so anything pending or rejected never touches the sheet.

This replaces the habit of exporting a CSV every week and pasting it in. With auto-sync on, the sheet is always current.

Good for: job applications routing to an HR tracker, client intake forms feeding a CRM spreadsheet, event registrations building an attendee list, vendor onboarding forms populating a supplier database.

2. One-click export of all responses to Google Sheets

If you have a backlog of submissions and want everything in a sheet at once, FileDrop’s one-click export does that without any field mapping setup. It creates a new sheet (or overwrites a tab) with all responses in a single operation.

Useful for catching up after setting up a form that’s been running without sync enabled, or for sharing a snapshot with someone who lives in Google Sheets.

3. Keep a FileDrop table synced from a Google Sheet

This runs in the opposite direction: your Google Sheet is the source of truth, and FileDrop pulls from it on a schedule.

In a FileDrop Table, open the import panel and paste a Google Sheets URL. Map the sheet columns to table columns (or create new columns on the fly), then choose a sync schedule: manual, hourly, daily, or weekly. The table header shows the last sync timestamp so you know how fresh the data is.

The point of this isn’t to replace Google Sheets. It’s for teams that maintain a spreadsheet in Sheets but want to present it publicly as a visual catalog, or need gallery view, password protection, domain-locked embedding, or PDF export — things Sheets doesn’t offer. The sheet stays editable by whoever owns it; FileDrop reads from it and displays it.

A few examples of how this gets used: a real estate agency keeps a property list in Sheets and FileDrop pulls it hourly, serving a gallery-view catalog at a branded URL. A photography studio syncs a shot list into a visual table with thumbnail previews and shares it as a password-protected client link. An e-commerce team updates product inventory in Sheets and the sync keeps a public catalog on their website current.

4. Import a Google Sheet once to seed a table

Not every workflow needs a recurring sync. Sometimes you just want to bring data from a sheet into a FileDrop Table once.

Paste the Google Sheets URL in the import panel, map columns, and import. FileDrop reads the sheet directly — no CSV download needed. Replace mode is also available: it wipes existing rows before importing, so you can do a full data replacement each time you run it manually.

5. Route form responses into a table, then export to Sheets

FileDrop Forms can sync directly into a FileDrop Table rather than straight to Google Sheets. This gives you a richer data layer between the form and the spreadsheet: images stored in the table, status columns, approval gating before anything reaches the sheet.

The pipeline: form submission arrives, FileDrop syncs the response into a Table with column mapping and file handling, and you export to CSV or Excel on demand (or push new rows to Sheets via Zapier using a webhook).

One extra step, but you gain a place to review, approve, and organize before the data moves downstream.

6. Insert images into Google Sheets cells (FileDrop add-on)

The FileDrop Google Workspace Add-on handles the part of Google Sheets that’s always been awkward: getting images directly into cells at scale.

Open the add-on sidebar inside Google Sheets, drag and drop your images, and FileDrop inserts them into the selected cells while saving them to Google Drive. Works for one image or hundreds.

This pairs with the form and table sync features for workflows where the sheet itself needs visual content — reference images in a VFX turnover, product photos in a catalog spreadsheet, thumbnails in a media tracker.

Workflows that combine these

Consulting intake: A consulting firm uses a FileDrop intake form with file upload fields. Submissions auto-sync to a Google Sheet used by ops. Approved submissions also sync to a FileDrop Table that surfaces a gallery view of submitted documents for review.

Product catalog: A product team owns a Google Sheet with SKUs, descriptions, and image URLs. FileDrop syncs it daily into a visual table. The table is embedded on the company’s partner portal at a custom domain with password protection. Product managers update the sheet; the portal updates itself.

Event registration: An event registration form collects name, company, session preferences, and dietary requirements. Responses sync to a Google Sheet in real time, which feeds a mail merge for confirmation emails and a check-in list for the day-of team.

Job applications: Candidates submit applications through FileDrop. The hiring manager reviews submissions and marks them approved or rejected in FileDrop. Only approved applications sync to the Google Sheet that feeds the ATS pipeline — rejected ones never appear there.

7. Trigger real actions when your sheet changes

Everything above keeps data flowing between Sheets, Forms, and Tables. FileDrop Automations goes a step further: watch a sheet or Drive folder for a specific event and fire an action — email, Slack, webhook, another sheet update — the moment it happens. No Zapier, no Apps Script, no polling delay.

A few Sheets-focused examples:

Notify sales the moment a lead comes in: a row lands in your form-responses sheet → email the sales team the lead details instantly.

Slack a high-value deal: a new row where Value > 10000 → post to #deals with the deal size and owner.

Approval flow in one step: a cell changes to “Approved” → email the requester and stamp the approval date back into the sheet.

Escalate overdue items: a Status cell changes to “Overdue” → alert a manager in Google Chat.

Weekly backup: every Monday at 8am → snapshot the sheet to Drive so you can roll back if something breaks.

Keep a contacts sheet deduped: a scheduled weekly scan removes duplicate rows by email automatically.

Monitor Google Drive Folders and Update Google Sheets with a link or text

Monitor Google Drive and Automate Video or Audio Transcription with VideoSnack

Each recipe follows the same trigger → condition → action pattern, using template variables like
{column:Name}
and
{triggered_at}
to pull real values into the message.

A guide to file upload form builders — and why FileDrop Forms is built differently

The Problem With Most File Upload Forms

If you’ve ever tried to collect files from clients using a standard form builder, you already know the frustration. Generic tools add an upload field, cap the file size at 10–20 MB, dump everything into a generic inbox, and call it done.

For businesses that collect files regularly — accountants gathering tax documents, lawyers collecting signed contracts, HR teams receiving résumés, agencies pulling assets from clients — that’s not a file upload form. It’s a workaround with a progress bar.

This guide covers what to look for in a dedicated file upload form platform in 2026, how the leading options compare, and why FileDrop was built specifically for this use case from day one.

Why Dedicated File Upload Forms Matter

The numbers make a compelling case for getting this right:

Stat

What it means for your business

50%

of knowledge workers’ time is spent creating and preparing documents (Nitro)

45%

of companies report it takes over a week to get a contract signed (Nitro)

80%

reduction in manual file-sharing time when organizations use dedicated systems (AWV study)

$120

average cost to locate a single misplaced document vs. $20 to file it correctly first time (PwC)

1.8 hrs/day

average time an employee spends searching for information (McKinsey)

For businesses collecting files every day, the form you use directly affects how much time is wasted downstream. A purpose-built file upload form eliminates the sorting, follow-up emails, and missed submissions before they happen.

What Businesses Are Saying

“We used to chase clients for documents over email for days. Now we send one link and everything comes in organized. It’s changed how we onboard clients entirely.”

— Operations Manager, boutique accounting firm

What to Look for in a File Upload Form Builder

A file upload form is not the same as a general contact form with an attachment field bolted on. Here is what separates a true file upload form platform from a generic builder:

1 GB+ file size limits per upload, not the 10–20 MB caps that most generic tools impose

Unlimited file uploads per submission, not one-file-only restrictions

A proper form builder with multiple field types — text, dropdowns, checkboxes, signatures, conditional logic

Email invite and tracking — send a personalized link to a specific person and know when they submit

Automated reminders so you don’t have to chase manually

Direct sync to Google Drive, Dropbox, or OneDrive — not a separate inbox to manage

Google Sheets or Airtable export for tracking submissions alongside your data

Custom branding so the form reflects your business, not the tool’s

Embed capability so forms live on your own website

Security: encryption in transit and at rest, GDPR compliance

Most form builders check two or three of these. Very few check all of them.

1. FileDrop — Best File Upload Form Platform for Businesses

Website: getfiledrop.com/file-forms

FileDrop is built around one job: making it easy to receive files from anyone, organized and without friction. Unlike general-purpose form builders that treat file uploads as a checkbox feature, FileDrop’s entire product is designed around the file upload workflow — from the form builder to the storage sync to the invite and tracking system.

The FileDrop Form Builder

The drag-and-drop form builder starts with three default fields — Name, Email, and File Upload — and lets you build from there. You can add, remove, or reorder any of 12 field types:

Text and Paragraph fields for open responses

File Upload fields (multiple per form, with file type filtering)

Email, Checkbox, Radio, and Dropdown for structured data

Date and Number fields

Signature field for electronic sign-off

Page Break to create multi-step forms

Conditional fields that show or hide based on prior answers

The Repeatable fields section is particularly useful for professional document collection: it lets submitters add as many entries as they need within a single form, without you having to anticipate in advance how many files each client will send.

Email Invites and Response Tracking

Most file upload form tools give you a link to share. FileDrop goes further with a built-in invite and tracking system:

Send a personalized invite email to a specific person or a list

Track whether the invite email was opened

Track whether the form was completed

Send reminders to anyone who hasn’t submitted yet — in one click

Submitted invites are automatically closed in the dashboard

This is the difference between broadcasting a link and actually managing who has and hasn’t sent you their files. For accountants, brokers, lawyers, and HR teams collecting documents from specific people, this changes the entire workflow.

Storage Integrations

Files submitted through FileDrop can be routed directly to:

FileDrop’s own secure cloud

Google Drive (specific folder or Shared Drive)

Dropbox

OneDrive

Submitters can also upload from Google Drive, Google Photos, Dropbox, or OneDrive — not just their local device. That removes one of the biggest friction points in client file collection.

Google Sheets & Airtable Export

Every submission — file links, field responses, timestamps — can be exported to Google Sheets with a single click, or routed directly to Airtable. This turns your file upload form into a lightweight submission tracker without building any extra infrastructure.

Electronic Signatures

FileDrop includes a native signature field. When a respondent signs, the signature is saved as a PNG image to Google Drive, and the image link is automatically recorded in Google Sheets alongside the rest of the form data. The signature can also be included in the confirmation email sent after submission.

Signature fields are required by default, so forms cannot be submitted without a valid signature when you need one.

Embedding on Your Website

FileDrop forms can be embedded directly on any website. Clients stay on your domain and upload without ever seeing a third-party platform.

Business+ and Max plans support hosting the form on your custom domain as well.

Tax documents, bank statements, invoices, receipts, and financial statements. FileDrop’s invite system means you send a specific request to a specific client, track whether they’ve submitted, and stop chasing. Files land directly in your Google Drive, organized by client.

Lawyers and Legal Teams

Contracts, evidence, signed documents, client records, legal forms. The signature field is particularly useful: collect a signed acknowledgment at the same time as the documents, with everything saved automatically to Drive and logged in Sheets.

Agencies

Logos, images, brand assets, video files, project briefs. FileDrop’s unlimited forms and branding options mean each client gets a form that looks like it belongs to your agency, not a third-party tool.

HR Teams

Résumés, ID documents, onboarding paperwork, certifications. A file upload form with conditional fields and multi-step page breaks is far cleaner than an email asking candidates to attach everything. Files go directly to Drive — no inbox management needed.

Consultants and Solopreneurs

Client onboarding documents, project assets, deliverable sign-offs. The custom branding and embed options let solo operators present a professional client experience without enterprise-level complexity or pricing.

2. Jotform — Best General-Purpose Enterprise Form Builder

Website: jotform.com

Jotform is a strong all-purpose form platform with a large template library, conditional logic, and approval workflows. File upload is supported, but it’s one of many features in a broad platform rather than the product’s core purpose.

File size limits are lower than FileDrop at comparable price points

No native email invite tracking system

Better suited for businesses where forms are the primary need and files are secondary

3. Typeform — Best for Conversational Forms

Website: typeform.com

Typeform’s one-question-at-a-time format works well for surveys and lead generation. For file collection, the conversational flow creates friction rather than reducing it — clients are stepped through a form when they simply need to upload files.

No invite system or response tracking per respondent

File upload is a secondary feature, not a primary one

Expensive at the submission volumes professional services firms require

4. Google Forms — Best Free Internal Tool

Website: forms.google.com

Google Forms is free and integrates with Google Drive, which makes it tempting. But it was built for surveys, not file collection.

10 MB default file size limit — far below professional requirements

No email invites, tracking, or reminders per respondent

No custom branding or embed options

Files land in a flat Drive folder with no submission organization

5. Dropbox File Request — Best Simple Single-Purpose Option

Website: dropbox.com

Dropbox File Request is useful for one-field file collection. You share a link, someone uploads, the file appears in your Dropbox. That simplicity is also its ceiling.

No form builder — just a single upload field

No additional data fields (name, email, custom questions)

No invite tracking or reminders

Requires a Dropbox subscription to receive files

6. FileInvite — Best for Structured Client Portal Workflows

Website: fileinvite.com

FileInvite focuses on structured document request checklists — useful for mortgage brokers and financial services firms. Less suited for businesses that also need a flexible general-purpose form builder.

Stronger on the checklist/request side than flexible form building

Higher price point for smaller teams

Less flexible for businesses with varied document collection needs

7. Content Snare — Best for Agency Content Collection

Website: contentsnare.com

Content Snare is purpose-built for agencies collecting content from clients — copy, images, answers. Reminders and approvals work well. Less flexible for mixed document and form workflows.

Strong for content collection, weaker for varied file upload needs

No native Google Workspace integrations

More expensive than FileDrop at equivalent submission volumes

Frequently Asked Questions

What makes FileDrop Forms different from a regular form builder?

FileDrop Forms is built specifically for file collection. The form builder, invite system, storage integrations, and pricing are all optimized for businesses that receive files regularly — not businesses that primarily run surveys or capture leads.

What file size can I collect with FileDrop?

On paid plans, each uploaded file can be up to 1 GB. There is no cap on the number of files per submission. The free plan is limited to 20 MB per file.

Do clients need to create an account to upload files?

No. Clients receive a link or an email invite and upload directly through the form. No registration required on their side.

Can I track whether a specific person has submitted their files?

Yes. The invite system lets you send a personalized email to a specific person and track whether the invite was opened and whether the form was completed. You can also send reminders to anyone who hasn’t submitted yet.

Can I embed a FileDrop file upload form on my website?

Yes. FileDrop forms can be embedded on any website. Business+ and Max plans also support hosting forms on a custom domain.

Is FileDrop secure enough for sensitive documents?

Yes. FileDrop uses TLS 1.3 encryption in transit and full encryption at rest. It is GDPR and CCPA compliant, hosted in Germany, and CASA certified.

How is FileDrop different from Google Forms for file upload?

Google Forms limits file sizes to 100 MB by default, has no invite or tracking system, offers no custom branding, and cannot be embedded on external websites. FileDrop supports 1 GB files, personalized invites with open and submission tracking, full branding, embeds, and direct sync to Google Drive, Sheets, Dropbox, OneDrive, and Airtable.

Can I collect signatures alongside uploaded files?

Yes. FileDrop includes a native electronic signature field. Signatures are saved as PNG images to Google Drive and logged in Google Sheets automatically alongside the rest of the form data.

Final Verdict

Most file upload forms are generic form builders with a file field. FileDrop is built the other way around: the file upload workflow is the product, and the form builder, invite system, storage integrations, and tracking are all built to serve it.

For accountants, lawyers, agencies, HR teams, consultants, and solopreneurs who collect files from clients regularly, that difference shows up in every submission. Less chasing. Less inbox sorting. Less time spent on things that should happen automatically.

The free plan lets you test it with no commitment. Paid plans start at a price point that makes sense the first time you stop spending an hour a week chasing file submissions.

TLDR

Teams that replace email-based document collection with a branded FileDrop upload page can reduce manual follow-up, keep files organized, and give clients or external users one clear place to submit everything.

Instead of sending dozens of reminder emails, send one link with a structured form, upload fields, and a checklist. Users upload at their convenience, your team tracks submissions in one place, and automatic reminders help move missing documents forward.

Key Takeaways

Email-based document collection creates unbilled admin work through searching, sorting, downloading, renaming, and follow-up

A branded FileDrop request page lets clients, vendors, employees, applicants, students, or partners self-serve without needing an account

Checklists and required upload fields make it clearer what has been requested and what is still missing

Automatic reminders reduce manual chasing while keeping users on track

Cloud storage, Google Sheets, Airtable, approvals, API access, Secure Send, and PDF sharing turn document collection into a repeatable workflow

Email is often the first tool businesses use to collect documents. It is familiar, fast to start, and everyone already has it. But once a team needs to collect documents from more than a few clients, vendors, applicants, employees, students, or partners, email becomes hard to manage.

Attachments arrive across different threads. Important details are missing. Large files fail to send creating frustration for your users or clients. Team members ask the same follow-up questions repeatedly. Nobody has a clean view of what has been received, what is still missing, and who needs a reminder.

FileDrop replaces scattered email attachments with branded file request pages, custom forms, upload fields, checklists, reminders, notifications, approvals, and integrations with tools like Google Drive, Dropbox, OneDrive, Google Sheets, and Airtable.

The goal is simple: give people one clear place to submit documents, and give your team one clear place to track them.

Why Teams Still Use Email

Email has advantages:

It is already available

Clients and external users understand it

There is no setup required

It works for quick one-off requests

It is easy to send a message and ask for an attachment

For a single low-risk document, email may be enough.

The problem starts when document collection becomes a repeatable business process.

Examples:

A client needs to submit five tax documents

A vendor needs to upload compliance paperwork

A new employee needs to complete onboarding files

A tenant applicant needs to send IDs, proof of income, and references

A finance team needs invoices, purchase orders, and supporting documents

A school needs assignments or enrollment forms from many students

An agency needs brand assets, project briefs, images, and approvals from clients

At that point, email stops being a collection system and becomes a manual tracking problem.

Where Email Breaks Down

1. Attachments Get Buried

Files arrive in different threads, replies, forwards, and inboxes. A client may send one document today, another next week, and a corrected version later. The team then has to search across messages to find the latest file.

With FileDrop, every submission goes through a dedicated request page. Files and form responses are tied to the same submission, making them easier to review and track.

2. Missing Documents Are Hard to Track

Email does not show a checklist of what has been requested and what has been received. The team usually has to maintain a spreadsheet, notes, or a manual status list.

With FileDrop, request pages can include required fields, upload fields, and checklists so users know what is expected and your team can see what is missing.

3. Follow-Ups Become Manual Work

When documents are missing, someone has to send reminders. Then they need to remember who replied, who ignored the reminder, and who still needs another nudge.

With FileDrop, automatic email reminders can reduce repetitive follow-up work and keep the process moving.

4. File Size and File Type Issues Create Friction

Email attachments often hit size limits, most clients have 25 mb limit. Some files are blocked. Others arrive in formats your team does not want. Users may split documents across multiple emails just to get them through.

With FileDrop, upload fields can be configured for the files you need. Users submit through the browser instead of fighting email attachment limits.

5. Context Is Missing

An attachment alone often is not enough. Teams also need names, invoice numbers, due dates, departments, project names, notes, signatures, categories, or approval details.

With FileDrop, custom forms collect structured information alongside uploaded files.

6. Email Is Not a Clean Workflow

Email is a communication tool, not a document intake system. It does not naturally provide submission statuses, approval states, dashboards, integrations, storage routing, or audit-friendly tracking.

With FileDrop, document intake can become a workflow: request, submit, notify, review, approve, store, export, and report.

What FileDrop Adds Beyond Email

Branded Links with Custom Forms

Instead of asking people to reply with attachments, teams can send a professional upload link. The page can include branding, instructions, form fields, and upload fields.

This is useful for accountants, agencies, HR teams, finance teams, legal teams, schools, real estate teams, and operations teams that want a more polished external experience.

Forms and File Upload Fields Together

FileDrop is not just a place to upload files. It can collect structured data and files in the same flow.

Example fields:

Name

Email

Phone number

Company

Department

Invoice number

Amount

Due date

Project

Notes

Dropdown selections

Checkboxes

Signature

File uploads

This reduces the need to ask follow-up questions after the file arrives.

Checklists for Required Documents

When users know exactly what is required, submissions are cleaner. A checklist-style request page helps the sender understand what to upload and helps your team see progress.

This is especially useful for:

Tax packets

Employee onboarding

Loan or finance documents

Tenant applications

Vendor compliance files

Course assignments

Client intake documents

Automatic Reminders

Document collection often fails because people forget. FileDrop can send reminder emails so your team does not have to manually chase every missing document.

This is one of the biggest advantages over email: the follow-up process can be built into the request itself.

Cloud Storage Integrations

Files collected through FileDrop can be organized into cloud storage destinations such as Google Drive, Dropbox, and OneDrive.

This helps teams avoid downloading attachments from email and manually re-uploading them into the correct folder.

Google Sheets and Airtable Workflows

FileDrop can support workflows where submissions are tracked in Google Sheets or Airtable. This is useful when teams want a lightweight dashboard for statuses, assignments, approvals, payment tracking, or operational reporting.

Example:

An invoice submission can be collected through FileDrop, saved to Google Drive, added to a Google Sheet, and reviewed by finance with approval and payment status columns.

Approval Workflows

Email approvals often become messy because approval decisions are buried in replies. FileDrop can support structured review flows where submissions are approved or rejected more clearly.

This is useful for:

Invoice approval

Candidate document review

Legal intake review

Vendor approval

Assignment review

Secure Send and PDF Sharing

Document workflows are not only about receiving files. Teams also need to send files and share documents securely.

FileDrop includes:

Secure Send for controlled file delivery

PDF sharing links with tracking, branding, password protection, watermarking, expiration, and view/download controls

This means teams can use FileDrop for both collection and controlled sharing.

When Email Is Still Fine

Email can still work when:

The request is rare or one-off

Only one file is needed

The document is not sensitive

There is no deadline

No one needs to track missing items

No structured data is required

The team does not need storage routing, approvals, or reporting

For casual document exchange, email is convenient.

For repeatable document collection, email becomes expensive in time and mistakes.

When to Use FileDrop Instead

Use FileDrop when:

You collect documents from many people

You need more than one file per request

You need form data with the files

You need to know what is missing

You want automatic reminders

You want a branded client-facing upload page

You need files organized in Google Drive, Dropbox, or OneDrive

You track submissions in Google Sheets or Airtable

You need approvals or review steps

You share PDFs or secure files with clients

You want API or webhook automation

Example Workflows

Accounting and Bookkeeping

Instead of emailing a tax document list, an accountant sends a branded FileDrop request page with required upload fields for W-2s, 1099s, receipts, prior-year returns, and supporting documents.

The client uploads everything through one link. The accountant receives email notifications, sees what is missing, and can store files in the correct cloud folder.

Invoice Approval

A vendor or employee submits an invoice through a FileDrop form. The form collects vendor name, invoice number, due date, amount, department, approver, and the invoice file.

The file is saved to cloud storage, the response is added to Google Sheets or Airtable, and finance can track approval and payment status.

HR Onboarding

HR sends a new hire one FileDrop link for IDs, tax forms, signed policies, certifications, emergency contact details, and direct deposit information.

Instead of chasing attachments across email, HR receives one structured submission with the required files and fields.

Legal Intake

A law firm uses FileDrop to collect case documents, IDs, signed forms, evidence, contracts, and notes through a secure branded page.

The team can review submissions, track missing items, and avoid confidential files being scattered across inboxes.

Agency Client Asset Collection

An agency asks a client to upload logos, brand guidelines, photos, product details, copy, and campaign notes through a FileDrop request page.

The agency receives organized files and structured project details instead of a long email thread with mixed attachments.

How to Move From Email to FileDrop

Step 1: Choose One Repeated Request

Start with a process your team repeats often.

Examples:

Client onboarding

Invoice submission

Tax document collection

Vendor paperwork

Candidate documents

Assignment submission

Project intake

Step 2: List the Required Information

Write down the fields you normally ask for by email.

Examples:

Name

Email

Company

Document type

Project

Due date

Amount

Notes

Approval owner

Step 3: Add File Upload Fields

Create upload fields for each type of document or file you need. Make important files required so users cannot submit an incomplete request by accident.

Step 4: Add Instructions and Branding

Use your logo, colors, and clear instructions so the request feels professional and easy to follow.

Step 5: Connect Storage and Tracking

Connect Google Drive, Dropbox, OneDrive, Google Sheets, or Airtable depending on how your team stores and tracks documents.

Step 6: Turn On Notifications and Reminders

Notify your team when a new submission arrives and use reminders to reduce manual follow-up.

Step 7: Replace Email Attachments With the FileDrop Link

Instead of saying “please reply with the documents,” send the FileDrop link.

Suggested email copy:

Please upload your documents through this secure request page so we can track everything in one place: [FileDrop link]

Bottom Line

Email is fine for simple communication, but it is a weak system for collecting documents at scale.

FileDrop gives teams a structured way to collect files and form data through branded request pages, upload fields, checklists, reminders, notifications, approvals, storage integrations, spreadsheet workflows, API access, Secure Send, and PDF sharing.

For teams that regularly chase documents, FileDrop can replace scattered email attachments with one repeatable workflow. Sign up here.

Invoice approvals often start in email, but email is a poor system for tracking what has been submitted, who approved it, and whether it has been paid. Invoices get buried in inboxes, approvers miss messages, and finance teams end up maintaining status manually.

This workflow uses FileDrop Forms with Airtable integration, cloud storage, and email notifications to create a structured invoice submission and approval process without adding a full accounts payable platform.

Invoice requests are submitted through a form, uploaded files are saved to the connected storage location, Airtable tracks each invoice record, email notifications keep the team moving, and Airtable views provide visibility into pending, paid, overdue, and flagged invoices.

Who This Is For

This workflow is useful for:

Small businesses that want a lightweight invoice approval database

Agencies that need project managers to approve vendor or contractor invoices

Finance and operations teams already using Airtable

Nonprofits and schools that need a simple invoice intake process

Teams that want better views, filters, and status tracking than a flat spreadsheet

The Problem

Manual invoice approval creates avoidable friction:

Invoices arrive in different inboxes and formats

Required information is missing from submissions

Approvers are unclear or not notified consistently

Payment status is tracked manually

Finance has no quick view of what is pending, paid, overdue, or flagged

Files are separated from the invoice record

The goal is to create one repeatable intake and tracking process.

The Workflow

A vendor, contractor, employee, or internal team member submits an invoice through a FileDrop File Request Page.

The form collects required invoice details and the invoice file.

Uploaded invoice files are saved to the connected cloud storage folder.

Each submission creates or updates an Airtable record with links to the uploaded files.

Email notifications alert the finance team or assigned approver.

Airtable tracks approval status, payment status, due dates, and exceptions.

Airtable views summarize pending approvals, paid invoices, flagged invoices, and upcoming due dates.

Supported Storage Options

Uploaded invoice files can be saved to the storage system your team already uses.

Supported storage destinations include:

Google Drive

Dropbox

OneDrive

The storage folder holds the actual invoice files and supporting documents. Airtable stores the structured invoice data, status fields, and direct links to those files.

Recommended folder structure:

Invoices

Invoices / Pending Approval

Invoices / Approved

Invoices / Paid

Invoices / Flagged

Alternative folder structures:

By vendor

By month

By department

By project or client

File Request Page Setup

Create a File Request Page called something like:

Submit an Invoice for Approval

Suggested form fields:

Vendor name

Vendor email

Invoice number

Invoice date

Due date

Amount

Currency

Department or project

Requested approver

Purchase order number

Invoice category

Notes or special instructions

Invoice upload field

Supporting documents upload field

Recommended required fields:

Vendor name

Vendor email

Invoice number

Due date

Amount

Department or project

Invoice file

This ensures every invoice enters Airtable with the minimum information finance needs.

Airtable Base Setup

Create an Airtable base called something like:

Invoice Approval Tracker

Suggested table fields:

Submission timestamp

Vendor name

Vendor email

Invoice number

Invoice date

Due date

Amount

Currency

Department or project

Approver

Invoice file link

Supporting file links

Approval status

Payment status

Payment date

Flag reason

Internal notes

Suggested approval statuses:

New

Pending approval

Approved

Rejected

Needs clarification

Flagged

Suggested payment statuses:

Not scheduled

Scheduled

Paid

Overdue

On hold

Airtable Views

Airtable works well for this workflow because each team can have a dedicated view without duplicating data.

Recommended views:

All invoices

New submissions

Pending approval

Approved but unpaid

Payment queue

Paid invoices

Overdue invoices

Flagged invoices

Invoices by vendor

Invoices by department

Monthly summary

Useful filters:

Approval status is Pending approval

Payment status is not Paid

Due date is before today

Flag reason is not empty

Approver is current user or team member

Useful grouping:

Group by approval status

Group by payment status

Group by department

Group by vendor

Group by month

Email Notifications

Use email notifications to keep the process moving.

Recommended notification rules:

Notify finance when a new invoice is submitted

Notify the requested approver with the invoice details and file link

Notify the submitter that the invoice was received

Notify finance when an invoice is flagged or needs clarification

Example finance notification:

Subject: New invoice submitted for approval

Body:

Vendor

Invoice number

Amount

Due date

Department or project

Requested approver

Link to uploaded invoice

Link to Airtable record or view

Example approver notification:

Subject: Invoice approval needed

Body:

Vendor

Amount

Due date

Project or department

Invoice file link

Instructions to update the Airtable record as Approved, Rejected, or Needs clarification

Dashboard and Reporting

Airtable can be used as the operational dashboard for the invoice process.

Useful dashboard sections:

New invoices awaiting review

Pending approval by approver

Approved but unpaid invoices

Paid invoices this month

Overdue invoices

Flagged invoices

Total invoice amount by status

Total invoice amount by department or project

If your team uses Airtable Interfaces, you can create a finance dashboard with charts, grouped lists, and quick filters for approvers and payment status.

Recommended Process

Finance shares the invoice submission page with vendors and internal teams.

Every invoice must be submitted through the FileDrop page, not by email.

New submissions create Airtable records with a default status of New or Pending approval.

The approver reviews the invoice file and updates the approval status in Airtable.

Finance reviews approved invoices and updates the payment status.

Flagged invoices stay visible until the issue is resolved.

Finance reviews Airtable views before each payment run.

Benefits

This workflow helps teams:

Standardize invoice submissions

Keep invoice files connected to invoice records

Give approvers a clear queue

Give finance better status visibility than email

Track pending, paid, overdue, and flagged invoices

Organize invoice files in Google Drive, Dropbox, or OneDrive

Avoid buying a separate approval platform for a lightweight process

Use Airtable views and filters instead of maintaining multiple spreadsheets

FAQ

Why use Airtable instead of Google Sheets for this workflow?

Google Sheets is a good fit for spreadsheet-style tracking. Airtable is a better fit when the team wants a lightweight database with views, record details, single-select statuses, grouped records, and cleaner collaboration.

For invoice approvals, Airtable can make it easier to create separate views for finance, approvers, payment queues, flagged invoices, and monthly reporting without duplicating rows across multiple tabs.

Why use FileDrop instead of an Airtable form?

Airtable forms can collect structured data, but FileDrop File Request Pages are designed around collecting files and submission details together. FileDrop gives teams a more focused file request workflow, branded pages, cloud storage routing, and email notifications.

The Airtable base becomes the tracking system, while FileDrop handles the intake and file collection experience.

Where are the invoice files stored?

Invoice files can be stored in the connected Google Drive, Dropbox, or OneDrive folder. Airtable stores the invoice record and links back to the uploaded files.

Does this replace accounts payable software?

Not for complex finance teams with purchase order matching, ERP integrations, multi-level approvals, or strict accounting controls. This workflow is best for small teams that want a structured invoice approval process without adopting a full AP platform.

Can this help reduce missed or late payments?

Yes. Airtable views can show overdue invoices, upcoming due dates, approved-but-unpaid invoices, and flagged invoices. That gives finance a clear payment queue before each payment run.

Can this workflow support other request types?

Yes. The same structure can be adapted for employee reimbursements, purchase requests, vendor onboarding documents, contractor payments, W-9 collection, or expense documentation.

Example Use Case

An agency receives invoices from freelancers, media vendors, and software suppliers. Instead of asking everyone to email invoices to the finance inbox, the agency creates one FileDrop invoice submission page.

Each invoice submission captures the vendor, amount, due date, client project, and uploaded invoice. The invoice file is saved to the connected cloud storage folder, and a record is created in Airtable with a direct file link. The project manager gets an email notification when approval is needed. Finance uses Airtable views to see which invoices are new, approved, paid, overdue, or flagged.

The result is a simple invoice approval workflow with cleaner intake, organized file storage, and better status visibility.

Implementation Checklist

Create the FileDrop File Request Page

Add required invoice fields

Add invoice and supporting document upload fields

Connect the page to Google Drive, Dropbox, or OneDrive

Connect submissions to Airtable

Create approval and payment status fields

Create Airtable views for approvals, payments, overdue invoices, and flagged invoices

Configure email notifications

Test one invoice submission from start to finish

Share the submission link with vendors and internal teams

Review Airtable before each payment cycle

Suggested Page Copy

Page title:

Submit an Invoice for Approval

Intro text:

Use this form to submit invoices for review and payment processing. Include the invoice file, due date, amount, and approver details so our finance team can process it without delays.

Confirmation message:

Your invoice has been received. Our team will review it and contact you if more information is needed.

Positioning Summary

This workflow is for teams that want structured invoice approval without adding a full accounts payable system.

FileDrop handles the invoice submission and file collection process. Airtable tracks each invoice record, status, approver, due date, and payment state. Google Drive, Dropbox, or OneDrive stores the files. Email notifications keep the process moving.

For many small teams, that is enough: one submission page, one Airtable base, organized cloud storage, automatic notifications, and clear views showing what needs attention.

Email threads become the system of record

The goal is to replace scattered invoice emails with one repeatable process.

The Workflow

A vendor, contractor, employee, or internal team member submits an invoice through a FileDrop Forms.

The form collects required invoice details and the invoice file.

Uploaded invoice files are saved to the connected Google Drive folder.

Each submission is automatically added to a Google Sheet with links to the uploaded files.

Email notifications alert the finance team or assigned approver.

The sheet tracks approval status, payment status, due dates, and exceptions.

A dashboard summarizes pending approvals, paid invoices, flagged invoices, and upcoming due dates.

FileDrop Form Page Setup

Create a form called something like:

Submit an Invoice for Approval

Suggested form fields:

Vendor name

Vendor email

Invoice number

Invoice date

Due date

Amount

Currency

Department or project

Requested approver

Purchase order number

Invoice category

Notes or special instructions

Invoice upload field

Supporting documents upload field

Recommended required fields:

Vendor name

Vendor email

Invoice number

Due date

Amount

Department or project

Invoice file

This ensures every invoice enters the process with the minimum information finance needs.

Google Drive File Storage

Uploaded invoice files can be saved automatically to a connected Google Drive folder. This keeps the files organized outside of email while the Google Sheet stores the structured submission data and direct file links.

Recommended Drive folder structure:

Invoices

Invoices / Pending Approval

Invoices / Approved

Invoices / Paid

Invoices / Flagged

Alternative folder structures:

By vendor

By month

By department

By project or client

The tracking sheet should include direct links to the uploaded invoice files and supporting documents, so finance and approvers can open the files without searching Drive manually.

Google Sheets Tracking

Connect the form responses to Google Sheets or export the submissions into a sheet used as the invoice tracker. The sheet becomes the operational view, while Google Drive stores the actual invoice files.

Suggested columns:

Submission timestamp

Vendor name

Vendor email

Invoice number

Invoice date

Due date

Amount

Currency

Department or project

Approver

Invoice file link

Supporting file links

Approval status

Payment status

Payment date

Flag reason

Internal notes

Suggested approval statuses:

New

Pending approval

Approved

Rejected

Needs clarification

Flagged

Suggested payment statuses:

Not scheduled

Scheduled

Paid

Overdue

On hold

Email Notifications

Use email notifications to keep the process moving.

Recommended notification rules:

Notify finance when a new invoice is submitted

Notify the requested approver with the invoice details and file link

Notify the submitter that the invoice was received

Notify finance when an invoice is flagged or needs clarification

Example finance notification:

Subject: New invoice submitted for approval

Body:

Vendor

Invoice number

Amount

Due date

Department or project

Requested approver

Link to uploaded invoice

Link to tracking sheet

Example approver notification:

Subject: Invoice approval needed

Body:

Vendor

Amount

Due date

Project or department

Invoice file link

Instructions to mark the invoice Approved, Rejected, or Needs clarification in the tracker

Dashboard View

The dashboard can be built directly in Google Sheets using filters, pivot tables, charts, or separate tabs.

Useful dashboard sections:

New invoices awaiting review

Pending approval by approver

Approved but unpaid invoices

Paid invoices this month

Overdue invoices

Flagged invoices

Total invoice amount by status

Total invoice amount by department or project

Suggested dashboard tabs:

All invoices

Pending approvals

Payment queue

Paid invoices

Flagged invoices

Monthly summary

Every invoice must be submitted through the page, not by email.

New submissions enter the sheet with a default status of New or Pending approval.

The approver reviews the invoice file and updates the approval status.

Finance reviews approved invoices and updates the payment status.

Flagged invoices stay visible until the issue is resolved.

The dashboard is reviewed weekly or before payment runs.

Benefits

This workflow helps teams:

Standardize invoice submissions

Reduce missing invoice details

Keep invoice files connected to tracking records

Give approvers a clear queue

Give finance visibility into payment status

Avoid buying a separate approval platform for a lightweight workflow

Keep the process inside tools the team already uses

FAQ

Why use FileDrop instead of Google Forms for invoice collection?

Google Forms is useful for simple data collection, but invoice workflows usually need stronger file handling, a more professional submission experience, and better control over how files are collected. FileDrop Forms are designed around collecting files and structured information together.

With FileDrop, teams can create a branded invoice submission page, collect invoice files and supporting documents, route submissions into Google Sheets, and keep uploaded files organized in Google Drive. The result is closer to an operational intake workflow than a basic form.

What are the main advantages over a basic Google Form?

Key advantages include:

A more professional, branded invoice submission page

File request workflows designed specifically for collecting documents

Clear file upload fields for invoices and supporting documents

Direct links from the tracking sheet to uploaded files

Better organization of uploaded files in Google Drive

Email notifications for finance teams, approvers, and submitters

A cleaner process for vendors, contractors, and internal teams

Less manual searching through email attachments

Can Google Forms still be part of the workflow?

Yes. Teams that already use Google Forms can still use Google Sheets as the tracking layer. But when file collection is central to the workflow, FileDrop is usually a better front end because the page is built around file requests, document intake, and structured submissions.

Does this replace accounts payable software?

Not for complex finance teams with multi-step approval chains, purchase order matching, ERP integrations, or strict accounting controls. This workflow is best for small teams that need a practical invoice intake and approval tracker without paying for a full accounts payable platform.

What other benefits does this workflow provide?

It gives the team one place to submit invoices, one place to store invoice files, and one place to track status. Finance can see what is pending, what is approved, what has been paid, and what needs attention. Approvers get clearer notifications, and vendors do not need to send files through scattered email threads.

Can this help reduce missed or late payments?

Yes. Because every invoice enters the same tracking sheet with due dates and payment status, the team can build views for overdue invoices, upcoming due dates, and approved-but-unpaid invoices. That makes it easier to catch issues before payment deadlines are missed.

Can we use this for internal reimbursement requests too?

Yes. The same structure can be adapted for employee reimbursements, contractor payments, purchase requests, expense documentation, or vendor onboarding documents.

The invoice file is saved to the connected Google Drive folder, and the response appears in Google Sheets with a direct link to the file. The project manager gets an email notification when approval is needed. Finance uses the sheet dashboard to see which invoices are new, approved, paid, overdue, or flagged.

The result is a simple approval workflow with a clear audit trail and no additional invoice approval software.

Implementation Checklist

Create the FileDrop Form

Add required invoice fields

Add invoice and supporting document upload fields

Connect the page to the correct Google Drive folder

Connect or export responses to Google Sheets

Create approval and payment status columns

Add dashboard tabs or filtered views

Configure email notifications

Test one invoice submission from start to finish

Share the submission link with vendors and internal teams

Review the dashboard during each payment cycle

Suggested Page Copy

Page title:

Submit an Invoice for Approval

Intro text:

Use this form to submit invoices for review and payment processing. Include the invoice file, due date, amount, and approver details so our finance team can process it without delays.

Confirmation message:

Your invoice has been received. Our team will review it and contact you if more information is needed.

Positioning Summary

This workflow is not meant to replace a full accounts payable platform for complex finance teams. It is designed for teams that want a structured invoice approval process using FileDrop, Google Sheets, and email notifications.

For many small teams, that is enough: one form for submissions, one sheet for tracking, automatic notifications, and a dashboard that shows what needs attention.

Make Shared File Links Easier to Recognize with URL Customization

When you’re sending PDFs or forms to clients, the link itself matters more than people think. A clean, readable URL looks more professional, is easier to remember, and makes it simpler to keep track of what you’ve shared.

That’s the idea behind File Drop’s URL customization feature. Instead of leaving your shared link stuck with a random UID on the filedrop.me subdomain, you can turn it into something clear and branded-looking with just a few clicks.

View the video demo here.

A small change that makes a link feel intentional

By default, shared pages use a system-generated URL. It works, but it doesn’t say much to the person receiving it. It can look messy, and if you’re sending multiple links to the same clients those links are hard to distinguish from one another.

With URL customization, you can replace that default string with a custom page name. In the demo, the URL is changed to sample custom page and saved immediately. The result is a cleaner link that looks much better for both you and the people opening it.

How it works

The process is straightforward:

Open the page you want to share.

Find the current URL.

Edit the existing UUID-style link.

Type in your custom page name.

Click Save.

Once saved, the URL updates right away. You don’t need to rebuild the page or go through a long setup. If you’re on a Pro or Business plan, the option is available with a simple click.

Why this matters for client sharing

The practical value here is simple: better URLs are easier to manage.

If you’re working with clients, a custom link gives you a clearer way to label and identify what you’ve sent. Instead of sorting through a string of random characters, you can use a link that reflects the page or purpose behind it. That helps when you’re sharing forms, PDFs, or other materials that need to feel polished and easy to follow.

It also improves the experience on the receiving end. A cleaner URL feels more trustworthy and less cluttered. That small detail can make your shared content look more deliberate and professional.

Existing links still work

One of the most useful parts of the feature is that it doesn’t break what you’ve already shared. If you change a URL after sending it out, the old link will automatically redirect to the new one.

That means you don’t have to worry about previous clients getting stuck with a dead link. Anyone using the old version will still land in the right place, even after the update.

FAQ

Who can use URL customization?

This feature is available on Pro and Business plans.

What changes when I customize a URL?

You replace the default UUID-style link with a custom page name, making the shared URL cleaner and easier to recognize.

Will old links stop working after I change the URL?

No. Previous URLs automatically redirect to the updated link.

Why should I bother customizing a URL?

It helps your shared PDFs and forms look more polished, and it makes links easier to track when you’re sending them to clients.

A cleaner link goes a long way

URL customization is a small feature, but it solves a real problem. If you share files often, it gives you a cleaner, more organized way to present them without disrupting existing links. For anyone who wants shared pages to look better and feel easier to manage, it’s a simple upgrade worth using.

Key Takeaways

Most read-only PDF protections can be bypassed if the file is shared

Flattening or locking PDFs reduces editing but is not foolproof

The safest approach is not sharing the actual file

FileDrop allows secure, view-only PDF sharing with download prevention

Professional tools provide branding, access control, and tracking

If you’re searching for how to make a PDF read only, you probably want to share a document without letting recipients edit, copy, or modify it. This could be a contract, proposal, HR form, report, or any sensitive document.

The challenge: Most traditional “read-only” methods are easily bypassed. Permissions, passwords, or flattened PDFs may deter casual editing, but determined recipients can still copy, modify, or extract content.

In this guide, we’ll walk through five practical methods, including the most reliable approach: sharing your PDF as a view-only link with FileDrop, which offers professional control, branding, and tracking.

What Does “Read Only” Mean for a PDF?

A read-only PDF is intended to allow recipients to view the content without making changes. In an ideal scenario, they shouldn’t be able to copy text, modify pages, or extract data.

Common use cases:

Contracts and agreements

Proposals and pricing documents

HR forms and policies

Internal reports

Published guides or manuals

Important limitation: Traditional methods—like setting permissions or passwords—cannot guarantee complete protection once the file is shared. Anyone with basic technical knowledge or free tools can bypass restrictions.

Key insight: The only truly secure way to make a PDF “read only” is not giving away the file itself, but instead sharing a controlled, view-only link.

Method 1 (Recommended): Share a View-Only Link Using FileDrop

The most reliable way to make a PDF read-only is to never give away the file. FileDrop allows you to share a PDF via a secure, view-only link, ensuring recipients can view but cannot download or edit the file.

How FileDrop Works

1. Upload your PDF to FileDrop

2. Disable downloads in the settings

3. Optionally add password protection and set expiration dates

4. Share the link — recipients can view, but the original file remains protected

Best for: Contracts, proposals, HR forms, reports — any PDF where security, professional presentation, and control matter.

Limitations:

Requires internet access to view

Screenshots are still possible, though this is true for all PDF methods

Method 2: Set File Properties to Read-Only (Windows/Mac)

You can mark a PDF as read-only locally, which prevents accidental editing on your own computer. However, this method does not protect the file once it is shared.

How to Set a PDF as Read-Only

Windows:

Right-click the PDF → Properties → Check “Read-only” → OK

Pros:

Quick and requires no additional software

Helps prevent accidental edits on your own machine

Cons (Be Honest):

Only applies to the file locally

Recipients can remove the read-only setting easily

Does not secure the PDF for external sharing

Best for: Preventing accidental changes on your own system before sharing.

Method 3: Use Mac Preview or Adobe Acrobat Permissions

Mac Preview and Adobe Acrobat allow you to set editing restrictions via passwords.

Mac Preview Steps:

Open PDF → File → Export as PDF → Security Options

Set a permissions password to restrict editing, copying, and printing

Adobe Acrobat Steps:

Open PDF → File → Protect → Restrict Editing

Set password permissions for editing

Pros:

Built-in tools for Mac or Adobe users

Password protection discourages casual edits

Cons:

Restrictions can be bypassed using online tools or free software

Does not prevent copying or screenshots in all cases

Recipients need to respect passwords for protection to be effective

Best for: Light protection where recipients are trusted and casual editing needs to be limited.

Method 4: Flatten the PDF (Convert It to an Image-Based PDF)

Flattening a PDF means converting each page into an image and then combining those images back into a single PDF file. Because the text is no longer “real” text—just pixels—most standard editing tools can’t easily select, copy, or modify the content.

This method is often used when you want to reduce casual editing rather than apply true security controls.

How flattening a PDF works

There are two common approaches:

Export pages as images – Use a PDF editor or online tool to export each page as a JPG or PNG file.

Recombine images into a PDF – Merge those images back into a single PDF using a PDF creator or online converter.

Popular tools that can flatten PDFs include:

Adobe Acrobat (export to image, then reassemble)

Preview on macOS (export as image-based PDF)

Why do people use flattened PDFs

Flattening is appealing because it:

Makes text harder to copy or edit using basic PDF editors

Preserves the visual layout exactly as designed

Works without requiring passwords or special software on the recipient’s side

For simple use cases—like sharing a finalized presentation or reference document—this can be “good enough.”

Important limitations to understand

Flattening does not make a PDF truly read-only.

Key drawbacks include:

File sizes often increase significantly, especially for multi-page or image-heavy PDFs

OCR software can still extract text, meaning determined users can recover editable content

Accessibility is lost, including selectable text, searchability, and screen reader support

Screenshots are always possible, just like with any other PDF protection method

Once you send a flattened PDF, you’ve still given away the file—so you lose control over how it’s shared or reused.

When flattening makes sense

Flattening works best when:

You’re sharing archival or presentation PDFs

You want to discourage casual copying, not prevent it entirely

Accessibility and text search are not critical requirements

When flattening is not enough

If the document is sensitive, confidential, or tied to a business process—contracts, HR documents, reports, or client deliverables—flattening alone is rarely sufficient.

In those cases, not distributing the file at all is the safer approach. Sharing a view-only PDF link (for example, using FileDrop) ensures recipients can read the document without ever receiving an editable copy, while still allowing you to control access, track views, and revoke links if needed.

Best for: Archival documents or visual-only PDFs where discouraging casual editing is the primary goal—not full document security.

Method 5: Other Document-Sharing Tools

Dedicated document-sharing tools are built specifically for sending files through secure, link-based access instead of email attachments. Rather than giving recipients a downloadable file, these platforms host the PDF and control how it can be viewed.

Apart from FileDrop, common examples include:

DocSend – document sharing with engagement analytics, commonly used by sales teams

PandaDoc – document workflows with viewing, approvals, and e-signatures

SendSafely – secure file delivery with strong encryption and compliance focus

Box – enterprise content management with advanced permission controls

How these tools work

In most cases, the process looks like this:

Upload your PDF to the platform

Configure access settings (view-only, passwords, expiration, etc.)

Share a secure link with recipients

Recipients view the document in a browser instead of downloading the file

This approach avoids email attachment limits and provides more control than traditional file sharing.

Benefits of document-sharing platforms

These tools typically offer:

Link-based delivery instead of attachments

Access controls such as passwords or email verification

View tracking or audit logs

Optional expiration dates or revocable links

For sensitive or professional documents, this is a major improvement over emailing PDFs directly.

Limitations to consider

Not all document-sharing tools are ideal for simple PDF delivery:

Added complexity — many platforms are designed for sales workflows or enterprise content management

Recipient friction — some require verification steps, gated viewers, or account creation depending on settings

Plan-based restrictions — storage limits, bandwidth caps, or locked security features may apply

Overkill for everyday use — advanced features can slow down simple sharing tasks

Why FileDrop is different

FileDrop is purpose-built for simple, secure, view-only PDF sharing without portals or unnecessary steps:

No recipient accounts or logins required

Clean, professional, branded PDF viewer

Disable downloads to keep PDFs read only

Password protection, expiration dates, and revocable access

View tracking without workflow complexity

For teams that want control without friction, FileDrop offers the most practical way to share PDFs as view-only documents—without giving away the file itself.

The Bottom Line: How to Make a PDF Read Only

Most traditional “read-only” techniques—changing file properties, adding passwords, or flattening PDFs—offer limited protection. Once you share the file itself, those restrictions can usually be removed, bypassed, or worked around with basic tools.

If you need real control over how a PDF is accessed, the most effective approach is not sharing the file at all. FileDrop lets you share PDFs as view-only links, so recipients can open and read the document without downloading or editing the original file. You also gain practical controls like view tracking, branding, link expiration, and the ability to revoke access at any time.
