For HR & people ops teams

Onboarding paperwork, done before day one

Signed contracts, ID documents, tax forms and bank details collected on one branded page — with no portal login for the new starter. Then share handbooks and payslips on links only the right person can open.

The workflow

From offer accepted to fully onboarded

The same four steps for one hire or fifteen starting the same Monday.

1

Send the pack

Build the onboarding checklist once per role — contract, ID, tax form, bank details — and send it the moment an offer is accepted.

One pack per role
2

Let it chase

Reminders go only to starters who have not finished, with the deadline set to their start date. They stop the moment the pack is complete.

No nagging by hand
3

File it

Documents route into Drive, Dropbox or OneDrive in a folder per employee, and a row lands in your people tracker automatically.

Filed on arrival
4

Share back

Handbooks, policies and payslips go out on links gated by email verification, so you can show who opened what and when.

What you actually use

The admin that eats a people team’s week

Every plan includes all of it. You choose volume, not which features get unlocked.

Reusable onboarding packs

One checklist per role, sent to every new starter. Save it once and stop rebuilding the same request for each hire.

Sign and upload in one step

Contracts and policy acknowledgements signed on screen alongside the documents, instead of a separate e-signature tool and a second link.

Reminders before the start date

Automatic follow-ups to whoever has not finished, with a deadline on the request so nothing surfaces on day one.

Verified document delivery

Handbooks, policies and payslips on links gated by email verification or a password, with expiry, blocked download and watermarks.

An employee record you can see

Who sent what, what is still missing and when it arrived — one row per person, rather than a folder and a memory.

Automations

A completed pack creates the employee folder, updates the tracker and notifies the manager in Slack or Teams. No code involved.

Where people teams put it to work

Six jobs, one request system

New starter onboarding

Everything a new hire owes you, gathered in the gap between the offer and the first day.

  • Contract signed on the same page
  • Reminders tied to the start date
  • One folder per employee, automatically

ID and right-to-work checks

Identity documents collected through a verified page instead of a photo sent over WhatsApp.

  • Email-verified access to the page
  • Response metadata: IP, device, timestamp
  • Virus scanning on every upload

Policy acknowledgements

Send the handbook and know who has actually opened it, without chasing replies.

  • Per-viewer read tracking
  • Signature field for sign-off
  • Swap in a new version, keep the link

Payroll and benefits

Bank details, tax forms and benefit elections collected on a recurring rhythm.

  • Recurring monthly requests
  • Payslips on email-verified links
  • Access limited to payroll staff

Recruitment

CVs, portfolios and work samples from candidates who should not need an account to apply.

  • Large portfolio and video uploads
  • One public link per role
  • Applications tracked in a table

Offboarding and records

Equipment returns, final documents and a tidy record when someone leaves.

  • Checklist per leaver
  • Link expiry on shared records
  • Bulk ZIP export for archiving
What it replaces

Four tools between the offer letter and day one

An onboarding module you pay extra for, an e-signature subscription, something to send payslips safely, and a form builder that charges for uploads. FileDrop is all four, on one login.

Onboarding modules

Collecting starter documents with a checklist and reminders per hire.

HRIS onboarding add-ons, Content Snare, FileInvite

E-signature add-ons

Getting contracts and policy acknowledgements signed — usually a second tool and a second link.

Standalone e-signature subscriptions

Secure send

Getting payslips and personal documents to the right individual, provably.

Employee portals, encrypted email add-ons

Form builders

Intake forms where uploads, custom domains and approvals sit behind a paid tier.

Typeform, JotForm, Paperform

One subscription, not four

Every FileDrop plan includes all five tools — upload forms, secure PDF links, tables, automations and the Google Workspace add-on. You pick the volume your team needs, not which features get unlocked. Plans start at $12 a month.

Employee data

Personal data, treated as personal data

Passports, bank details and contracts belong to people who never chose your tooling. FileDrop is built and hosted in the EU, and every access control is available on every paid plan.

  • Hosted in Germany by Hetzner, built in the EU since 2022. GDPR, CCPA and CASA positions documented in the open.
  • TLS 1.3 in transit, encrypted at rest, with virus scanning on every uploaded file.
  • Verified access — email-gated or password-protected pages and links, expiry dates, blocked download and print, dynamic watermarks.
  • Seats and admin control on Business+ and Max, so a recruiter sees candidates and payroll staff see payroll — not each other’s.

FAQ

What people teams ask first

Something we have not covered? Talk to us — chat is open 10:00–19:00 CET.

Do new starters need an account?

No. They open your link, upload their documents and sign, and they are done. No portal registration, no password to reset in their first week, and nothing to install — which is usually why packs come back before day one rather than after it.

Can the contract be signed on the same page?

Yes. A signature field sits alongside the upload fields, so a starter signs the contract and sends their ID and tax form in a single step rather than through a separate e-signature tool.

Can we prove someone read the handbook?

Yes. Share it as an email-verified link and you get per-viewer analytics — who opened it, when, and how long they spent. You can also swap in an updated version without reissuing the link.

Where do employee documents end up?

Wherever you already work. Uploads route into Google Drive, Dropbox or OneDrive in a folder per employee, and responses sync to Google Sheets, Airtable or Excel so the people team gets one row per person.

Can we limit which of our team sees what?

Yes. Business+ includes 5 seats and Max includes 15, with admin control over assignment — so recruiters see candidate uploads and payroll staff see payroll documents, without either seeing the other.

Can we use it for ID and right-to-work documents?

Teams do. You get an email-verified page, virus scanning, response metadata such as IP, device and timestamp, encryption in transit and at rest, and EU hosting. FileDrop provides the collection and access controls — whether your process satisfies the right-to-work rules in your jurisdiction remains your call, so check it against your local guidance.
