How an enrolment pack goes out and comes back
The same four steps for one family or the whole intake.
Send it home
Build one branded page per intake, class or year group, with a deadline on it. Share the link by email, or print the QR code on a slip for the ones who never check email.
Link or QR codeLet it chase
Reminders go only to the families who have not returned it yet, on the interval you choose, and stop the moment their form arrives.
No office chasingFile it
Every response lands in Drive, Dropbox or OneDrive under the right class or pupil, with a row in Sheets or Excel the office can actually read.
Sorted on arrivalSend things back
Reports, newsletters and letters go out as links — readable on a phone, gated by email if they are personal, and you can see who opened them.
No huge attachmentsBuilt for a school office, not a marketing department
Every plan includes all of it. You choose volume, not which features get unlocked.
One page per intake
Reusable forms you set up once and send every intake or term, on your school’s own domain with your crest and colours.
Reminders with a deadline
Put the return date on the request and let follow-ups run. Only the families still outstanding get chased.
Consent signed on screen
A signature field sits beside the upload fields, so a parent consents and sends the medical form in one go — on a phone, at the bus stop.
QR codes for paper
Print the code on a slip or pin it to the noticeboard. Parents scan it and land straight on the form — no typing a URL.
A record the office can read
Who has returned what, what is still missing and when it came in — one row per pupil instead of a pile on the desk.
Automations
A returned form files itself, updates the register sheet and notifies the admissions lead. No code, no IT ticket.
Six jobs, one form system
Enrolment and admissions
The intake pack — birth certificate, proof of address, previous school records and medical needs — gathered before the first day.
- Parents photograph documents on a phone
- Long checklists with per-item status
- Deadline on the pack, reminders until complete
- Filed per pupil automatically
Trips and permission slips
The classic paper round, replaced by a link with a deadline and a return rate you can watch.
- Consent signed on a phone
- Reminders only to families outstanding
- Live count of who has returned it
Medical and dietary
Allergies, medication and emergency contacts gathered from every family at the start of the year.
- Repeatable groups for siblings
- Behind an email-verified page
- Exported to the office spreadsheet
Photo and media consent
A clear record of which children can appear in photographs, newsletters and on the website.
- One yes or no, logged per pupil
- Re-collected each academic year
- Searchable when you need to check
Staff recruitment
Application documents, certificates and references collected from candidates without a portal login.
- One link per vacancy
- Large files and scans accepted
- Access limited to the hiring panel
Newsletters and reports
Send home a newsletter that opens on a phone, or a report only that family can see.
- Flipbook view for newsletters
- Email-verified links for reports
- Proof of who opened it
The paper round, plus three things you pay for separately
Printing and reprinting slips, a form builder that charges for uploads, an e-signature tool for consent, and something to get reports home safely. FileDrop covers all of it on one login.
Paper and reprints
Printing slips, sending them home, and printing them again for the families who lost them.
Printing, postage and reissued forms
Form builders
Forms where file uploads, custom domains and reminders sit behind a paid tier.
Typeform, JotForm, Paperform
E-signature add-ons
Getting consent signed — usually a second subscription and a second link to explain.
Standalone e-signature subscriptions
Getting reports home
Sending a report or letter to one family without it bouncing or reaching the wrong inbox.
Parent portals, large email attachments
Schools get 20% off
Every FileDrop plan includes all five tools — forms, secure links, tables, automations and the Google Workspace add-on. Staff at K–12 schools and universities qualify for a 20% discount: email us from your school address and we will send the code.

Children’s data, handled carefully
Medical notes, photographs and home addresses belong to families who trusted the school with them. FileDrop is built and hosted in the EU, and every access control is available on every paid plan.
- ✓Hosted in Germany by Hetzner, built in the EU since 2022. GDPR, CCPA and CASA positions documented in the open.
- ✓TLS 1.3 in transit, encrypted at rest, with virus scanning on every file a parent uploads.
- ✓Verified access — email-gated or password-protected pages, expiry dates, blocked download and print, dynamic watermarks.
- ✓Seats and admin control on Business+ and Max, so an admissions officer sees applicants and the office sees everything.
FileDrop provides the collection, storage and access controls. Whether a particular process meets your local education data-protection duties is a judgement for your school or trust — check it against your own policy.

What school offices ask first
Something we have not covered? Talk to us — chat is open 10:00–19:00 CET.
Do parents need an account or an app?
No. They tap your link, fill the form, sign if it needs signing, and they are done — on a phone, in about a minute. No registration, no password to forget, nothing to install. That is usually the difference between a 40% return rate and a 90% one.
What about parents who do not read email?
Generate a QR code for the form and print it on a slip or pin it to the noticeboard. Parents scan it with a phone camera and land straight on the page — no URL to type out.
Can we see who has not returned a form yet?
Yes. Each request shows read and responded status per family, so the office sees a live return rate instead of counting slips. Reminders go only to the families still outstanding.
What if a parent has more than one child at the school?
Repeatable field groups let one parent add several children in a single submission, rather than filling the same form three times.
Do schools get a discount?
Yes — staff at K–12 schools and universities qualify for 20% off. Email us from your school address with the school name and we will send the code. Details on the education pricing page.
Is it suitable for pupil and medical information?
It is built with that in mind: EU hosting in Germany, TLS 1.3 in transit, encryption at rest, virus scanning, email-verified pages, link expiry and admin control over which staff see what. Whether a specific process meets your school or trust’s data-protection duties is your call — check it against your own policy.
Send your next enrolment pack as a link
Set the pack up once, reuse it every intake, and watch the return rate instead of counting paper.
