Send a PDF for electronic signature

Use Signatures to send a PDF to someone for a typed or drawn signature. FileDrop emails each signer a link and keeps the completed PDF and signing record together. For a signature collected as part of a form response, use form signatures.

Upload and prepare a document

  1. Open Signatures in the FileDrop menu. On the Signature requests page, select New document.
  2. Enter a title and upload a PDF. The PDF can be up to 25 MB and cannot be password protected.
  3. On Place fields, drag a Signature field onto the page where you want the person to sign. Add Name, Date, or Text fields where you need other information. You can move, resize, or remove a placed field before sending.
  4. Select Save & continue to send. A document needs at least one placed field before you can send it.
  5. Choose Single recipient, enter the person’s name and email address, then select Send.

The signer receives an email link. They can open the document in a browser, fill in the fields, click the signature box, and draw a signature or type their name. To finish, they accept the electronic-signing consent and select Sign Document. They do not need a FileDrop account to use the signing link.

Send to several signers

Choose the workflow that matches the document:

  • Several people sign the same PDF: On Place fields, add at least two signers in the Signers panel. Select a signer before placing each field so the right person receives it. Each signer needs an assigned field. Select Save & send to all signers when the document is ready. The completed PDF becomes available after all signers finish.
  • Each person gets a separate PDF: On Send for signature, choose Multiple recipients and upload a CSV or Excel file with name and email columns. FileDrop sends an independent document and signing link to each person. You can include other columns whose headings match text-field labels to prefill those fields. A recipient list can contain up to 500 people; your plan’s monthly signature allowance may limit how many you can send at once.

For example, a list with name, email, and Department columns can prefill a field labeled Department on each recipient’s copy.

Track the request and download the result

Open the document from Signature requests to see each recipient’s status. For someone who has not finished, select Remind when it is available. You can Cancel an outstanding request. A cancelled or expired recipient can be sent a new link with Resend.

Once every required signer has finished and processing is complete, the document shows Completed. Select Download signed PDF for the final document. Select Download Certificate for the separate completion record when that option appears. Processing can take a short time after the last signature. The recipient’s completion page also offers the signed PDF when it is ready.

Common questions

  • Why can I not send the PDF? Place at least one field on the document and save the fields first. For several signers on one PDF, assign a field to each signer.
  • Why was my PDF rejected? Check that it is a PDF under 25 MB and is not password protected. Re-export it as a PDF if needed.
  • Why is Download signed PDF unavailable? The request may still be waiting for another signer or for final processing. Check recipient statuses and reopen the document after processing completes.
  • Why is Remind unavailable? Reminders have a cooldown for each recipient. The document page shows when the next reminder is available.
  • What kind of signature does FileDrop provide? FileDrop records a typed or drawn electronic signature, consent, and signing activity. It does not verify the signer’s identity or issue a qualified signing certificate.
