Organizing and Sending PDF Share Links

A short walkthrough of four additions to PDF Hosting: custom labels in your dashboard, sending one document to a list of recipients as individually-tracked links, folders, and an editable FileDrop subdomain. Aimed at anyone managing more than a handful of share links — the classic case being the same document sent to dozens of people who each need their own copy.

1. Custom labels in your dashboard

If you upload the same file for multiple people, your dashboard list used to show the original filename for every row — so ten copies of script-final-v3.pdf were indistinguishable at a glance.

How to use it: open any share’s Edit page and set a Display Title. That title now shows everywhere in your dashboard — the main list, the “Most Viewed” and “Expiring Soon” widgets, and the Send Invite confirmation — instead of the raw filename. Leave it blank and the filename is still used, so nothing changes unless you set one.

The search box on the PDF Hosting page already matches on title, description, filename, or ID, so a good label also makes a link easy to find later.


2. Send to multiple recipients

PDF Hosting → Send to multiple recipients (next to Upload new files).

Upload a document once, paste a list of recipients — one per line — and get back a separate share link for every name. Each link points to its own independent copy of the file, so disabling, taking down, or deleting one recipient’s link can never affect anyone else’s. This is the tool for “the same document to everyone on the production” without uploading it dozens of times.

A name with no email just becomes that recipient’s label. Add an email and you can also check “Email each recipient their link now” to send it immediately (requires the Lite plan or above) — otherwise you’ll land on a results page listing every link next to its recipient, ready to copy.

Settings apply to every link in the batch: expiration, view limit, passcode, download and email-verification gates, and — if you’re on the Pro plan or above — a watermark. On Business+ you can set a watermark template with a {name} placeholder, e.g. Confidential — For {name}, which is substituted per recipient. This is the strongest way to trace a leaked copy back to who received it: the mark is burned into what the viewer sees, not just logged internally.

Anything not covered by the batch form — branding, flipbook mode, per-recipient tweaks — can still be changed afterward on each individual link, the same as any other share.


3. Folders

Once you have more than a handful of links, a flat list stops being usable. Folders group links the way you’d expect — one per recipient type, project, or client.

Creating and using folders, from the PDF Hosting page:

  • Click + New folder in the row above your link list, name it (e.g. “Crew”, “Cast”, “Producers”), done.
  • Click a folder’s name to filter the list to just that folder. All and Uncategorised are always available alongside your custom folders.
  • To move existing links into a folder: tick the checkbox on each link you want, and a bar appears at the bottom of the screen with a Move to folder dropdown.
  • New links can be filed into a folder from the start — both the single-file upload page and the multi-recipient page have a Folder dropdown.
  • The pencil and trash icons next to the active folder rename or delete it. Deleting a folder never deletes the links inside it — they move back to Uncategorised.

Folders are flat (no folders-within-folders) — for most link volumes that’s enough, and it keeps moving things around simple.


Every account gets a default link like yourname-a1b2c3.filedrop.me, generated automatically at signup. You can now change it to something you’d actually want to hand out.

Where: account settings → Custom Domain page has a new Your FileDrop Link section above the custom domain form (the two are related — a custom domain, when connected, takes priority over the subdomain).

To change it: type a new name (lowercase letters, numbers, hyphens; 3–50 characters) and save. A few things to know:

  • Old links keep working. Anyone who already has a link with your old subdomain will be redirected automatically — nothing breaks when you rename.
  • One change per week. This isn’t a paid limit, it’s there so a rename is a deliberate choice rather than something to cycle through by accident.
  • Your previous subdomain(s) are listed on the settings page so you can see what’s still redirecting.
