Introducing FileDrop Rooms: A Secure Data Room for Your Google Drive

Summarize with AI

Today we’re launching FileDrop Rooms, a secure data room built on your Google Drive. Pick a Drive folder, decide who gets in, and share it as a branded room. Each person gets their own link, reads files right in the browser, and you see who opened what and for how long.

Rooms are included in the Business plan (5 secure Google Drive folders, up to 100 people each) and the Teams plan (50 secure Google Drive folders, up to 500 people each).

Why we built Rooms

Sharing a Drive folder outside your company usually means one of two things. Either you add people to the folder and hope they don’t reshare it, or you turn on “anyone with the link” and lose track of who has it. Neither tells you whether the investor actually read the financials, or whether the client opened the contract.

Rooms sit between your Drive folder and the people you share it with. Your files stay in Drive, and FileDrop controls the door.

How it works

  1. Pick a folder. Choose any folder from My Drive or a shared drive. Subfolders come along with it.
  2. Set the rules. Add a password, an expiry date, a watermark or a signed NDA, and decide whether people can download.
  3. Add participants. Add people by email or upload a CSV. FileDrop emails each of them a personal link, or you copy the links and send them yourself.
  4. Preview and share. Open the room exactly as a participant will see it, then share it.

When you add or edit a file in Drive, the room updates by itself. There’s nothing to re-upload.

Personal links that can’t be forwarded

Every participant gets their own link. The first time they open it on a new device, FileDrop emails them a short code, so a forwarded link is useless to anyone else. You can limit how many devices each person uses, switch a participant off, or give them a fresh link at any time.

You can also share one open link instead. Visitors confirm their email with a code, and in an invite-only room they send you an access request that you approve or deny with one click.

Sign an NDA before entering

Add your NDA once and reuse it across rooms. Visitors sign it with FileDrop Sign before the room opens, and you keep the signed PDF with its audit record. One signature covers every room that uses the same NDA. If you change the NDA, everyone signs the new version on their next visit. NDA signatures don’t count toward your monthly signature requests.

Watermarks and download control

Turn downloads on or off for each room. In a watermarked room, every page shows the viewer’s email, IP address and the time, and PDFs and Google files download with the watermark stamped into every page. When downloads are on, participants can download a single file, several files, a folder, or the whole room as a zip.

Switch a room off and every link to it stops working immediately.

See what people actually read

The analytics tab shows each visitor’s visits, the files they opened, the time they spent and what they downloaded. For any PDF you can see the time spent on each page, for everyone or for one person. Export the full activity log to CSV or Google Sheets.

You can choose how you hear about it:

  • An email the first time each participant opens the room
  • A short activity summary after each visit
  • A daily digest of everything that happened across your rooms

The details

  • Files people can view: PDFs, images, Word, PowerPoint and Excel files, and Google Docs, Sheets, Slides and Drawings. Other files can be downloaded when you allow it.
  • No account needed: participants don’t need a Google or FileDrop account.
  • Your brand: rooms run on your FileDrop subdomain or your own domain, with your logo.
  • Message everyone: send an update to every active participant in a room, each with their own link back in.
  • Limits: Business includes 5 rooms with up to 100 people each. Teams includes 50 rooms with up to 500 people each. A room holds up to 1,000 files on Business and 5,000 on Teams.
  • Your files stay in Drive: FileDrop keeps short-lived, encrypted previews, never copies of your originals.
  • Changing plans: if you move below Business, your rooms are archived, not deleted, and they open again when you upgrade.

What teams use it for

  • Fundraising: share the deck, financial model and cap table with investors, each behind a signed NDA.
  • Mergers and due diligence: give buyers and their advisers one place to review documents, with a full record of who saw what.
  • Accountants and lawyers: deliver year-end accounts or case files to a client from the Drive folder you already work in.
  • Agencies: hand over final deliverables in a branded room instead of a raw Drive link.

Get started

If you’re on Business or Teams, open Rooms in the FileDrop app and pick a folder. On another plan, compare plans to see what Business includes. You can read more on the Rooms page.
